Privacy policy
Last updated 19 October 2026
This policy explains what ClubForged collects, why, and what you can ask us to do with it. ClubForged is run by [company name], [registered address] ("we"). Contact us about privacy at [privacy email].
This website
When you apply to be a pilot club, we collect your name, your club, your email address, your club's website if you give it, and who runs your club's social media today. We use these only to consider your application and talk to you about the pilot. Our lawful basis is legitimate interests: you asked us to get in touch.
We measure how the site is used with privacy-friendly analytics. It sets no cookies and collects no personal data, so there is no cookie banner. We count things like how far people scroll and how many watch the film.
The ClubForged service
When a club uses ClubForged, the club is the controller of the personal data in its content, and we process it on the club's behalf under the data processing terms in our terms. This includes the names of members mentioned in diary entries, results and posts, and people who appear in the club's photographs.
We use it only to plan, write and publish the club's social media as the club directs. Junior content always needs the club's approval before anything is published.
We keep account details for the people who use ClubForged: their name, email address and their actions in the account, such as approvals.
Who else handles data
- Hosting and storage providers, in the UK or EU, to run the service.
- An AI model provider, to draft and check posts. Club content is sent only to do that, and is not used to train its models.
- Meta (Facebook and Instagram), to publish the posts the club approves.
- An email provider, to send account and approval emails.
How long we keep it
We keep pilot applications for up to 12 months if the club doesn't go ahead. We keep a club's content for as long as the club uses ClubForged, then delete it within 90 days of the account closing, unless the law requires otherwise.
Your rights
You can ask to see, correct or delete your personal data, ask us to restrict or stop using it, or ask for a copy to take elsewhere. If your data is in a club's content, ask the club, and we'll help them. You can also complain to the Information Commissioner's Office at ico.org.uk.
